VETERINARY RECEPTIONIST (Competitive) – Reading, PA
This position is one of importance because this team member is responsible for the client’s first impression of our hospital. In order to fill this position, you must be able to recognize and meet the clients’ needs. Some of these needs include making the client and their pet feel welcome, receiving timely service, being understood, being remembered and recognized.
Primary Duties and Responsibilities Include:
- Customer Service Responsibilities– recognizing and meeting client needs; greeting clients and patients by name in a professional and friendly manner; Identify and work compassionately with clients in various emotional states, thorough knowledge of computer system; performing opening procedures (turning on computer system, counting the cash drawer, retrieving messages, returning phone calls, knowing surgery and appointment schedules); answering telephones; taking appropriate messages; making appointments; invoicing and dismissing patients, organizing and maintaining patient records, consent forms, payment forms, etc; Monitor flow from check-in to discharge; preparing information packets; sending sympathy cards; responding to emails; making reminder calls; checking and responding to text messages in DaySmart; answering and fielding questions for clients and non-clients in regards to animal care and hospital services; reconciling invoices, money and charge slips at end of day.
- Understanding and following hospital procedures and protocols.
- Hospital Cleanliness Responsibilities– maintaining the appearance of lobby and reception area; including vacuuming, mopping, dusting, cleaning windows, wiping down lobby chairs, maintaining the lobby bathroom.
- Animal Care and Treatment Responsibilities– greeting all patients by name; making pets feel welcome in hospital; recognizing severe cases in need of immediate attention; keeping animals isolated from others when necessary
- Emergency Situations: During an emergency situation, the customer service specialist’s job is to calmly explain to all clients what is happening, and how it is going to affect them and their pet.
- Attend monthly staff meetings, regularly check work email.
- Works regularly with other Receptionists, Technicians, Assistants, Veterinarians, and the public.
- Work schedule is Monday to Friday (with potential rotating Saturdays); either four (4) ten hour days or five (5) eight hour days.
- Reports to Lead Veterinary Technician and Director of Veterinary Services

Physical Requirements: The ability to sit at a computer for long periods of time, ability to bend, stoop, lift up to 30 pounds, repetitive hand/ finger motion ( typing)
Working Conditions: Prolonged exposure to various aqueous solutions, including but not limited to, dish soap, chlorhexidine, and other cleaning agents, Potential exposure to isopropanol and, hydrogen peroxide. Potential exposure to isoflurane gas. Potential exposure to pressurized steam. Potential exposure to sharps including needles and surgical blades. Potential exposure to radiation producing machines. Prolonged exposure to animal hair and dander. Potential exposure to aggressive or unvaccinated animals. Will be exposed to highly emotional and stressful situations, unpleasant odors, noises and animal excrement.

THE PERSON
The ideal Veterinary Receptionist should:
- possess at least one year of Veterinary customer service experience; fluent in computer skills; math and writing skills; basic knowledge of small animal care including vaccine protocols, heartworm and flea/ tick prevention and associated diseases, such as kennel cough, parvo and tick diseases.
- be an individual who is service oriented, professional, empathetic, and organized. Must also possess the ability to follow directions with and without supervision, to recognize certain behaviors in animals, and to refer questions to appropriate personnel.
- possess at least one year of Veterinary customer service experience; computer skills, math and writing skills
- have a high school diploma or GED
- have basic knowledge of small animal care including vaccine protocols, heartworm and flea/ tick prevention and associated diseases, such as kennel cough, FIV/ FELV, parvo and tick diseases.
